Contacts and instructions
Keep vendor, landlord, buyer and applicant records with the relevant properties and instructions. Record requirements, conversations, appointments and the next action.
Website and portal connections form part of the agreed setup. Each enquiry needs an owner and a recorded response.
Viewings and offers
Track appointments, feedback, offers and follow-ups against the property. Colleagues can see what has been discussed and which decisions remain outstanding.
Relevant documents and correspondence remain attached to the instruction or transaction.
Sales progression
Record milestones, chain information, relevant checks and the people responsible through to completion. Use the current position to identify missing information and overdue actions.
The team can review a transaction without reconstructing its history from separate inboxes.
Agent example: unanswered enquiry
An applicant’s enquiry has no recorded response. The agent checks the property and contact history, prepares a reply and proposes the next action.
The responsible member of staff reviews the information and approves the message before it reaches the applicant.
People, income and agency performance
Review enquiry handling, instructions and progression alongside staff workload and fee income. The business plan gives that activity a target, budget and review date.
A transaction update informs the team’s next action and the management review. It stays attached to the property and contact records.
Common questions
Will it cover sales and lettings?
The planned scope includes both, using shared contact and property records. Lettings adds tenancy, maintenance and landlord processes. Each release will have a confirmed scope.
Does the CRM cover the whole business?
Client and contact records are part of Overnhill alongside tasks, correspondence, documents, staff and finance. The agency edition adds the property and transaction records.
What can we discuss before release?
Your enquiry handling, instructions, progression process and current software. These establish the examples a future demonstration must cover and the requirements for a possible migration.
